MyKidReports takes privacy very seriously. All photos and videos of a child are posted only to the accounts of the parents or guardians of the child. No one else can access this information without express consent being provided by the parents or guardians. All account passwords are encrypted for additional security. Yes, all of your information is automatically backed up on a daily basis.
You can set that child to inactive, however, you will still be able to access their profile and all of the associated records and reports.
Some of the many ways in which MyKidReports is different from webcams is that information provided to parents is specific to their child, you control the information provided to parents to educate them as opposed to simply observing, it makes existing documentation practices more efficient, and it provides you with digital records to replace paper records. Once your daycare adds you on MyKidReports, you'll receive a Welcome email from us with instructions to setup your account credentials. If you've already received a Welcome email, click the link in the email to set up your login!
Missing your Welcome email? Do the following
- Check your inbox for an email from MyKidReports. (Don't forget to check your spam/junk folder!)
- Not in our system? Contact your center and verify that they've entered the correct email without typos.
If after confirming your address with your center you still haven't received a Welcome email, have your center reach out to us with your email address to diagnose the issue. Due to privacy restrictions we cannot add anybody to a child's profile.

Any contacts registered as a parent or guardian on a child’s profile will be able to view invoices.
Parents will receive an email when a new invoice has been generated. They will be able to view all invoices from within the MyKidReports Parent app or by logging into the MyKidReports website.
If an invoice was created in error, it can be Voided/Canceled before it is marked as Paid. Parents will be able to view all cancelled invoices.
Parents can get their Statement by logging into our website https://MyKidReports.com.
When parents reply to the invoice, their message will be sent directly to the center administrator's Message Center inbox. If necessary, you can Update Administrator Information to change the recipient of invoice-related emails.
Parents will be able to view their paid invoices from the MyKidReports app or through the MyKidReports website, but you can also email them a receipt.
It's quick and easy to get set up to make online payments to your program. Add a bank account or credit card, and you're ready to make payments!
Enabling autopay is a great solution to ensure tuition is paid on time, every time.
Billing autopay functions much like other automated payment systems and will charge the default payment method for the full balance due on the due date of each invoice or statement. It’s important to note that there can be multiple payment methods on file, but autopay will always trigger using the default payment method.
Some programs choose to enable Mandatory Autopay, and some do not. If autopay is not mandatory, parents and payers can manage these settings easily from the web or app. Learn more by viewing our Manage Autopay resource.
Receipts are sent to the email on file once payment is successfully processed. For payments made using a credit card, this should occur pretty quickly. For payments made using an ACH method, this could be up to 5-7 business days after making the payment.
If you need to see a full history of all payments made in a given timeframe, you can pull a payment summary report for the desired date range. You can also view and print any desired invoices as needed.
Payers can access financial reports for tax or reimbursement from within their MyKidReports account by printing individual invoices or statements.
Unfortunately, no. If you have made a payment that is currently in a 'Pending/Processing' status, neither MyKidReports nor the program you've paid can cancel/stop the pending charge. For your program to take any action on the payment, it must reflect a status of 'Paid.'
We recommend working directly with your program to obtain any refunds when able. It's important to note that MyKidReports is not responsible for any overdraft or processing fees due to processed payments.

Our payment processor, charges processing fees for each individual online payment. Programs do have the option to pass on any processing fees associated with online payments to the parent. If your program has enabled this setting, you will see the processing fees added to your total payment when clicking the Make a payment button in your MyKidReports account.
Pre-paying on a student’s account will not change or prevent processing fees from being charged, as the fees are in regard to the actual transaction, not a MyKidReports student’s balance.
We recommend contacting your provider directly for more information about their processing fee policies! MyKidReports has no control over this; it is a determination made independently by your provider. MyKidReports offers a wide variety of features and options, and ultimately it is up to each provider to determine their own policies and procedures.
We recommend that you reach out to your program directly regarding this. MyKidReports is not authorized to make any changes to any account. Your program is responsible for creating and managing all transactions (including charges, refunds, late fees, credits, and offline payments) and will be able to assist you!

Unfortunately, we cannot return processing fees associated with successful payments as these fees go directly to our payment processor.

FSA/HSA/Dependent Care accounts are potential options that can be added to a parent's brightwheel account to make payments to a program. It's important to note that each program can choose what type of payments they'd like to accept (ACH and Credit/Debit cards or ACH only), and these settings may limit how certain FSA/HSA/Dependent Care accounts can be utilized.
Due to the nature of FSA providers and their specific regulations or requirements, there may be some others factors limiting your ability to use this payment method. If you have the option to add your FSA/HSA account but are experiencing trouble doing so, please follow our Troubleshooting steps so we can try and assist you further.
We understand how frustrating this scenario might be and highly recommend contacting your old program directly regarding any unexpected charges. Since your old program is responsible for creating and managing all transactions, they will be the best resource to assist you in how to resolve this matter.
